Invite suppliers

With Invite suppliers you let your suppliers book freight on your Sendify account number, using your agreements and your prices. You keep full visibility and control – every shipment they book is collected with you, just like your own.

What is Invite suppliers?

Sometimes you want a supplier to ship goods to you, but on your terms. With this feature your supplier books the freight on your Sendify account number. That means they use your Sendify agreements and prices, and the freight cost lands on your account.

So your supplier doesn't need their own account with a freight agreement – they book on yours. You decide who gets invited, and you see everything that's booked.

You have full visibility and control

This is the whole point of the feature.

Every shipment your suppliers book on your account number shows up in your shipment list, just like your own shipments. Nothing is booked behind your back. You see everything all of your suppliers book – each supplier only sees their own shipments.

Among other things, this means you can:

- See every shipment booked on your account number.
- Track the shipments directly in Sendify.
- Cancel a shipment if something went wrong.

Since the freight cost lands on your account, you also have the final say. You carry the responsibility for what's booked – and that's why we give you full control over it.

How to invite a supplier

1. Go to Suppliers in the menu.
2. Don't have a Sendify account number yet? Create one first – it's the number your suppliers book on.
3. Click Invite suppliers and fill in the supplier's company name, first and last name and email address.
4. Choose a pre-filled receiver address. That address is filled in automatically for the supplier when they book, so they don't have to enter it themselves.
5. Click Send. Your supplier gets an email with an invitation.

The supplier appears in your list with a status:

- Pending – the invitation has been sent but not yet accepted.
- Active – the supplier has accepted and can book.
- Expired – the invitation wasn't accepted in time.

Can the supplier see my prices?

You always see the prices on everything that's booked. With the Show prices toggle you decide whether your supplier sees the freight cost of what they book, or not.

What your supplier experiences

Once you've sent an invitation, the supplier gets an email with a link. What happens next depends on whether they already use Sendify:

- New to Sendify – a guest account is created automatically and they're logged in right away. They don't need to register or enter any payment details.
- Already on Sendify – they choose which of their accounts to connect to your account number.

After that the supplier can book straight away, with your receiver address already filled in. They don't pay anything themselves – the cost stays on your account.

The supplier has full access to their own shipments and can, for example, cancel them or rebook the pickup. They only see their own bookings – never yours or other suppliers'.

Does my supplier need a Sendify account?
No. If they don't have an account, a guest account is created automatically when they accept the invitation.

What is a guest account?
A simple account created for a supplier who is new to Sendify, so they can book on your account number without registering or adding payment details.

Can I cancel a shipment my supplier booked?
Yes. Every shipment on your account number is in your shipment list, and you can cancel them just like your own.

What can my supplier do with their shipments?
The supplier has full access to their own shipments and can, for example, cancel them or rebook the pickup.
